General Information for Faculty

Update Your ASE Account Contact Info and Submit Your Headshot

Please make sure that your ASE account contact information is correct, especially when you are preparing to participate as faculty for ASE 2023. Take a few moments to update your profile information in your ASE Account – pay particular attention to your first name, last name, title, degrees and certifications, and organization. The information provided in your ASE account is used on all event technology platforms including the mobile app and online meeting platform.

For 2023, we are collecting faculty headshots directly from your ASE account. Simply select the pencil icon above your name in your member profile to add or change your photo.

Reprinting Your Confirmation

How do I accept my invitation and/or print my confirmation?
Visit the Faculty Portal and log in using your ASE credentials. You can view your invitation in the Message Center found on the top right navigation menu. From here, you can view your invitation(s) including important information such as session date, time, format, and co-faculty for your session(s).

Faculty Registration

To register for ASE2023 and receive your complimentary registration, click here. Be sure to enter the discount code SS23FACULTY and hit enter to zero out your registration fee. You are welcome to also register for other ticketed events (learning labs, DIY acquisition sessions) for a fee.

For your participation as faculty, your complimentary Scientific Sessions registration includes:

  • Over 29.75 hours of CME/CEU/MOC/MOCA points
  • Continental breakfasts
  • The Welcome Reception on Friday evening, June 23rd at Bobby McKey’s Dueling Piano Bar
  • The President’s Reception on Saturday afternoon, June 24th
  • The Faculty Reception on Monday evening, June 26th at Topgolf  (a formal invitation will be sent in May).

Ensure Valid Content

ASE, as an ACCME-accredited provider of accredited continuing education (CE), requires that all faculty follow the guidelines set forth in Standard 4 of ACCME’s Standards for Integrity and Independence in Accredited Continuing Education when presenting in an ASE-provided educational activity. As such, you are expected to present education that is fair and balanced. All clinical content presented should support safe, effective patient care. In addition:

  1. All recommendations for patient care in accredited continuing education must be based on current science, evidence, and clinical reasoning, while giving a fair and balanced view of diagnostic and therapeutic options.
  2. All scientific research referred to, reported, or used in accredited education in support or justification of a patient care recommendation must conform to the generally accepted standards of experimental design, data collection, analysis, and interpretation.
  3. Although accredited continuing education is an appropriate place to discuss, debate, and explore new and evolving topics, these areas need to be clearly identified as such within the program and individual presentations. Engagement in these topics should not advocate for or promote practices that are not, or not yet, adequately based on current science, evidence, and clinical reasoning.

Delivery Method

All sessions for ASE2023 will be delivered in person in National Harbor. At this time, we do not have an option to prerecord OR to present remotely. If you are unable to attend in person, please decline your invitation and an alternate speaker will be invited.

#ASE2023 Mobile App -Whova

ASE is using the online platform Whova as its new live courses app. Whova will give you access to the entire meeting program at your ingertips. You can also use the app to ask questions during the sessions you attend. Search “Whova” in the Google Play and Apple Stores to download.

Whova allows for more interaction among participants at the meeting including:
• Finding others who are attending State-of-the-Art Echocardiography and reaching out to them at any time.
• Planning social activities such as a morning run, coffee hours, or meet-ups with your fellow attendees.
Important course information like:
• The event agenda and planning your personal schedule.
• Access to documents and slides shared by organizers or speakers.
• Updates like possible last minute session changes from the organizers.

**NOTE: The ASE2023 event will be live in the Whova app on May 1, 2023.

If you have already used the Whova app, just double-check what is installed on your phone, tablet, or computer, and log in using your existing account email and password.

First Time Whova User?
MOBILE APP
After downloading Whova, you will be prompted to create an account. We suggest that you use the email address you used when registering for ASE2023 and create a strong password. By using the email address you used when registering for ASE2023, the platform will automatically associate you with the event and take you to your event page automatically.

WEB PORTAL
Once you have downloaded and signed into the Whova app on your mobile device, you will receive an email from Whova with the web portal URL. Open your email on your laptop/tablet and click the web portal link to access the app through your browser..
If you are not automatically connected to the event and you are prompted for an event code, please reference the email from “event-noreply@whova.io” or when on-site, reference the back of your badge or visit the registration desk outside Maryland Ballroom.

Hotel Information

ASE has secured a room block of rooms at discounted rates at the Gaylord National Resort & Convention Center. See below for additional overflow hotel options.

Important information about reserving your hotel for ASE 2023. The Gaylord National Resort & Convention Center, The Westin Washington National Harbor, and AC Hotel by Marriott National Harbor are the only official housing partners for ASE 2023. Neither ASE or the hotels will call you for reservations. If you are contacted by another hotel, travel agency, or hotel reservation company offering to make your hotel reservations for ASE 2023, we urge you to not use their services and report this to ASE immediately. The rooms these agencies offer are usually at higher rates, are non-refundable, and/or carry a significant cancellation penalty.

The Gaylord National Resort & Convention Center – Headquarters Hotel

The Gaylord National Resort & Convention Center room rates start at $279 USD plus tax per night (based on single/double occupancy). An additional discounted daily resort fee of $27 per room per night (plus applicable taxes) will automatically be added to your total bill. This fee will cover several amenities including: high-speed internet access in guestrooms, two bottled waters replenished daily, access to fitness center & indoor pool, $10 credit towards dry cleaning services, coupon book with a valued savings of over $100, and National Harbor shuttle transportation to several locations throughout National Harbor.

The room block will be held until June 2, 2023, or until the block is sold out. After this date, reservations will be accepted on a space-available and rate-available basis. Conference attendees may take advantage of ASE’s group rate three days prior and three days after ASE 2023 Scientific Sessions, but is subject to hotel availability.

FAQs for Invited Faculty

I have been invited as faculty for a session in National Harbor. What travel expenses will be covered?
ASE Faculty receive free conference registration. No additional travel expenses are provided. 

I have been invited as faculty. I am not able to attend. Could I participate in the session remotely through zoom or record my presentation?
The ASE 2023 program committee made the decision that all presentations will done in person.  There is not a virtual option for faculty. If you are not able to attend in person, we ask that you decline your invitation. An alternate will be asked to present in your place.

I’m Chairing a session at ASE2023. How do I see who the presenters who are in my session so that I can contact them?
Please view your chair invitation on our faculty management platform. Log in with your ASE username and password. On the top navigation menu, select “Messages” then “Invitations” in the drop down menu. From here, you will see your list of sessions. For any with a Chair role, when viewing the invitation, you can select the “+” to the left of “Session Information” which will show you all presentations and invited faculty for that presentation. Their email addresses will also be provided so that you may contact them to prepare your session.

How do I upload my ASE2023 presentation?
Details for upload will be provided in April from our AV vendor, Freeman.

Remember to download the official ASE2023 PowerPoint Templates from this site for use in building your presentation. You are welcome to add your institution’s logo to the title page of your presentation.

I want to upload my presentation in National Harbor. Is this possible?
A Speaker Ready Room will be available onsite in National Harbor. Details regarding location and hours will be updated shortly.

I want to practice my presentation in National Harbor. Will there be an area to do this?
A rehearsal space is allocated inside the Speaker Ready Room. The room is equipped with the same equipment we have in the session rooms and will allow you to rehearse prior to your presentation.

What does the area we are presenting in National Harbor look like?
In most rooms, there will be a stage with a head table for faculty. There will be a podium with laptop, mouse, timer, mic, and confidence monitor.

How will attendees interact with me during my presentation?
Each session room will be equipped with an audience mic so that attendees can ask questions and interact with faculty. Attendees can also submit questions through our app either on their mobile device or laptop/tablet. This mobile friendly tool can be accessed by attendees through the mobile app or through a url link that will be posted in the room for each session. If you are interested in including slides where you ask the learners to participate (i.e., polls or multiple-choice questions), please refer to the contact Christina LaFuria (clafuria@asecho.org).

What is “fair use”?

Fair use is the right to use a copyrighted work under certain conditions without permission of the copyright owner.  The doctrine helps prevent a rigid application of copyright law that would stifle the very creativity the law is designed to foster.  It allows one to use and build upon prior works in a manner that does not unfairly deprive prior copyright owners of the right to control and benefit from their works.  Together with other features of copyright law like the idea/expression dichotomy discussed above, fair use reconciles the copyright statute with the First Amendment. 

What is the test for fair use?

The fair use defense is now codified in Section 107 of the Copyright Act.  The statutory formulation is intended to carry forward the fair use doctrine long recognized by the courts.  The statute provides that fair use of a work “for purposes such as criticism, comment, news reporting, teaching (including multiple copies for classroom use, scholarship, or research)” is not an infringement of copyright.  To determine whether a given use is fair use, the statute directs, one must consider the following four factors:

  • the purpose and character of the use, including whether the use is of a commercial nature or is for nonprofit educational purposes;
  • the nature of the copyrighted work;
  • the amount and substantiality of the portion used in relation to the copyrighted work as a whole; and
  • the effect of the use upon the potential market for or value of the copyrighted work.
